Mobile shelving eliminates all but one aisle. Six carriages sit on rails, touching when closed. The single active aisle shifts to whichever row you access. Aisle ratio drops from 56% to roughly 12%. Same room, same footprint — storage density doubles.

The drive system is the biggest decision in a mobile shelving project. It determines installation cost, daily usability, and long-term maintenance. Here is how the three options compare in the field, not in a brochure.
1. Manual (Direct-Drive Hand Wheel)
A hand wheel connected directly to a chain-and-sprocket drive. No gear reduction, no motor. Turn the wheel, the carriage moves. Carriages under 800 kg loaded weight turn with about 5–7 kg of hand force — manageable for any adult. Above 900 kg, the effort climbs noticeably.
Best for: small archives with 3–6 carriages, each under 800 kg loaded. Law firm document rooms with 4–5 rows of case files. Small museum collection storage. Lowest cost of the three options. Maintenance: lubricate the chain annually, check bearing play — 20 minutes per carriage per year.
2. Mechanical Assist (Geared Hand Wheel)
A 3:1 ratio gearbox between the hand wheel and drive chain. Three wheel rotations equal one sprocket rotation. Effort drops proportionally — a carriage needing 10 kg of hand force with direct drive needs roughly 3.5 kg with mechanical assist. No electrical connection, no motor, no control panel.
This is what we recommend for 80% of institutional archives. Carriages in the 1,000–2,000 kg loaded range. Daily access of 5–20 retrievals. Maintenance: gearbox oil change every 3 years, chain lubrication annually, bearing inspection — 30 minutes per carriage per year. Total cost roughly 25–35% less than an equivalent electric system.
3. Electric (Motorized)
Push-button operation via an electric motor driving the carriage. Quiet, effortless, and the only practical option for very heavy carriages exceeding 2,000 kg loaded. Systems typically include safety light curtains that stop movement if the beam is broken.
Downsides: higher upfront cost (motor, control system, electrical installation). Requires a dedicated circuit. Motor replacement at roughly year 10–12. Complete access failure during power outages unless a manual override crank is installed — and cranking an electric carriage manually can take 2–3 minutes per row. Best for: very heavy loads, high-traffic retrieval (50+ per day), or where staff cannot physically turn a wheel.

What a Mobile Shelving System Actually Costs: Rough Budget Framework
Every project gets a custom quote. But for planning purposes, here are rough order-of-magnitude ranges based on recent installations:
- Manual system, 6 carriages, standard height: $12,000–$18,000 installed, excluding floor preparation
- Mechanical assist, 10 carriages, 2400mm tall: $25,000–$40,000 installed, depending on carriage width and rail length

High Density Mobile Shelving-Installation Requirements — What Your Facilities Team Needs to Know
Installing mobile shelving means anchoring steel rails to concrete with expansion bolts. Rails must be level within ±2mm across their entire length. A three-person crew installs a 12-carriage system in 3–4 working days. Day one: mark positions, drill anchor holes, set rails. Day two: assemble carriages on rails, verify alignment. Day three: install shelving inside carriages, test movement, adjust. Day four: final alignment check, safety system verification, staff training on operation.
Floor preparation checklist:
- Carpet: cut back at rail positions; rails must seat on bare concrete
- Vinyl/epoxy: can remain; rails mount on top
- Ceramic tile: test-drill for cracking risk; may need resin anchors instead of expansion bolts
- Uneven floors: self-leveling epoxy grout under rails adds 1 day to installation
Three Safety Features That Should Be Standard — Not Optional
Mobile carriages weigh hundreds to thousands of kilos. Crushing hazards are real. Any system should include:
- Mechanical aisle lock: When an aisle is open, a physical lock holds adjacent carriages. A staff member must manually release it before moving a carriage. This prevents accidental movement if someone leans on a hand wheel.
- Floor sweep sensors: A rubber strip along the bottom of each carriage face. If it contacts an object — a fallen book, a foot — it triggers an immediate stop. Passive, mechanical, no electronics to fail.
- End stops with dampers: Physical stops bolted to the rails at both ends with rubber bumpers. If a carriage somehow overruns, it hits a bumper, not the wall.
If a supplier quotes a system without these three, look elsewhere. They are not premium add-ons — they are minimum baseline for personnel safety.
Who Should Get Mobile Shelving — and Who Should Stick With Static
Good candidates:
- University archives in space-constrained campuses — especially heritage buildings where expansion is not allowed
- Hospital medical records with growing paper volume and no budget for off-site storage rent
- Law firms keeping decades of case files for regulatory compliance

Poor candidates:
- Records centers with 50+ daily retrievals across random rows — the time spent moving aisles adds up
- Rooms under 20 square meters — the fixed space consumed by rails and end panels leaves too little storage gain to justify the cost
- Temporary storage expected to relocate within 2 years — mobile shelving is semi-permanent infrastructure
